How to fulfil an order like a pro
Most people start a clothing brand without understanding product creation, sourcing, marketing, pricing, and brand building. This 100-day course is built to help you understand the path before you start working on it.
This course is created from the real experience of building and scaling Offnorth Fashions into a multi-crore clothing brand over the last 6+ years.
Take a step back and talk about what you can control: fulfilling an order properly before it leaves your hands.
Because here’s the truth – a huge percentage of RTOs, damage claims, and courier disputes happen before the package even gets picked up. If you follow a proper process, you’ll save yourself time, money, and headaches.
Step-by-step: How to fulfil an order the right way
1. Check the product
Before packing, make sure you’re sending the right product in the right size and colour. A wrong item shipped = guaranteed RTO.
2. Inspect quality
Check for stains, damages, or loose threads. It’s much cheaper to fix it now than deal with an unhappy customer later. Exchanges or returns are costly, adding up shipping cost, packaging fee, handling fee, etc.
3. Calculate the weight
We have two types of weight in shipping:
Actual weight – What your package weighs on the scale.
Volumetric weight – Courier companies also charge based on size, using the formula:
(Length × Breadth × Height in cm) ÷ 5000 (for most couriers). They charge you whichever is higher.
4. Document everything
Take a photo of the product, the packaging process, the box on the weighing scale, and the final sealed parcel. For high-value orders, record a short video from start to finish. This will save you in case of disputes over weight or damages.
5. Choose the right packaging
Too big = higher volumetric weight (and more shipping cost).
Too small = risk of damage.
For t-shirts, a properly sized polybag or box with minimal empty space works best.
6. Label it correctly
Make sure the shipping label is printed clearly, stuck flat (not on seams), and fully visible. No folded edges or wrinkles – scanners hate that.
7. Seal like it’s going to war
Strong tape on all seams. If using a box, use an H-tape pattern. If using a polybag, seal with tamper-proof adhesive.
8. Schedule the pickup
If you’re using Shiprocket or another aggregator, generate the label, select your courier, and schedule the pickup. Avoid too many couriers at once; stick to 1–3 that perform well in your key locations.
9. Track from day one
Don’t just hand it over and forget it. Keep an eye on the tracking. If something stalls for more than 48 hours, raise it immediately with your courier/aggregator.
A well-fulfilled order isn’t just about making it look pretty – it’s about reducing risks before they even have a chance to happen.
