How to send professional shipping and delivery notifications

You see, e-commerce is a trust game. Someone has just sent you their money, sometimes for the first time, and now they’re in that slightly anxious “I hope I get my order” phase.
Your job is to remove that anxiety completely by keeping them informed at every single stage.
If you do this right, you’ll reduce the number of “Where is my order?” WhatsApp messages and emails by at least 70%. That’s not an exaggeration – I’ve seen it happen in my own stores.
Let’s break it down, step-by-step, from the moment a customer hits that “Place Order” button.
Order Confirmation: This is the very first email or WhatsApp message they should get. It should include:

Products ordered (with images)

Estimated shipping timeline
The key here is reassurance. The message tells them, “Yes, we got your order, and here’s the proof.”
Order Processing / Packed: If your fulfilment takes more than 24 hours, it’s worth sending a “Your order is being packed” update. This makes them feel the wheels are turning.
Order Shipped
This is one of the most important notifications. It should:

Share the courier partner’s name

Give them the tracking link

Mention the expected delivery date
From my experience, WhatsApp works brilliantly here. People rarely miss a WhatsApp message.
Out for Delivery: This is the excitement stage. Customers will often plan their day around it. Imagine ordering a Supima Polo and knowing it’s arriving today – it changes the way you look at your schedule.
Order Delivered: A short confirmation message is enough here, but it’s also a perfect time to drop in your “We’d love your feedback” link.
Now, that’s the operational side. But let’s talk about the marketing automations that run alongside this and bring you more revenue without extra effort.
Review Request: Send 3–5 days after delivery, with an incentive like “Get 10% off your next order when you leave a review.”
Abandoned Cart Recovery: If someone added to the cart but didn’t complete payment, send them a gentle nudge – first email after 1 hour, second after 24 hours, and maybe a small incentive in the third one.
Browse Abandonment: If they looked at a product but didn’t add it to cart, send them a “Still thinking about this?” reminder with the product photo.
Back-in-Stock Alerts: If something they wanted is sold out, let them register for a notification when it’s back. These often have the highest conversion rates.
Price Drop Alerts: For customers watching a product, let them know when it’s on sale, even if it’s a small discount.
The tools?
If you’re on Shopify, many apps can handle this – Klaviyo, Omnisend, or even Shopify Email for starters. For WhatsApp, I recommend Interakt or WATI – they let you send automated order updates and marketing messages from the same dashboard.
The big mistake most new brand owners make is thinking, “Oh, customers will track their order themselves. Why do I need to send so many messages?”
Here’s the truth – yes, they can track it. But when they have to, it feels like work. When you send it to them proactively, it feels like care. And in brand building, care always wins.
