Order Completion, Payment & Goods Collection Policy

Order Completion Confirmation:

Once production is fully completed as per the agreed specifications, Varthagam International will issue an Official Order Completion Confirmation.

This confirmation will be sent through:

• Official Email communication, or
• Written WhatsApp confirmation from the respective Sales Executive. 

The date of this communication shall be treated as the Order Completion Date.

Payment & Collection Timeline (15 Days) 

Payment terms shall be strictly governed by the mutually agreed commercial terms confirmed before order approval.

a) If Advance / Immediate Payment Terms Are Agreed

If the agreed terms require full payment before dispatch:

• All outstanding dues must be cleared within 15 days from the Order Completion Date.
• Goods will be released, dispatched, or handed over only after full payment is received. 

Failure to complete payment within this period will trigger warehouse storage charges as mentioned in Clause 3.

b) If Credit Terms Are Pre-Approved

If written credit terms or delayed payment terms were formally agreed before order confirmation:

• Goods may be released as per the agreed credit timeline.
• The customer must adhere strictly to the approved credit duration.
• Any delay beyond the agreed credit period will automatically attract warehouse charges (if goods remain uncollected) and/or other recovery actions as applicable.

No Implied Credit 

If no written credit agreement exists prior to order confirmation:

The order shall be treated as payment-before-dispatch. 

• Varthagam International reserves the right to withhold goods until full payment is received.

Warehouse Storage Charges

If goods are not dispatched or collected within 15 days from the Order Completion Date due to:

• Delay in payment, or
• Delay in pickup arrangement by customer (if customer takes care of shipping)

Then a warehouse storage charge of ₹5 per piece per month will apply.

• Charges will be calculated on a pro-rata daily basis.
• Storage charges begin from the 16th day onward.

Example: 2,000 pieces × ₹5 = ₹10,000 per month (calculated daily).

Extended Non-Payment Clause (6 Months)

If full payment is not completed within 6 months from the Order Completion Date:

• Varthagam International reserves the full right to liquidate, resell, or dispose of the stock.
• The company may recover its invested amount, production cost, and applicable charges from such sale.
• The customer shall have no legal claim, objection, or compensation rights against such action.

Cost Responsibility

After the initial 15-day free holding period:

• All storage cost implications lie with the customer.

Storage charges will continue to accumulate until goods are cleared or liquidated.
